Refund & Cancellation Policy
Effective date: 1 May 2026 · OF Luxury International.
This policy covers refunds and cancellations of the OF.luxury concierge fee and our member plans. Supplier costs (venue, airline, hotel, charterer) are governed by the supplier's own cancellation policy — we share these with you before you confirm a booking.
1. Concierge fees on one-off bookings
- More than 7 days before service: cancellation is free of charge. Full refund of any concierge fee already paid, less any non-refundable supplier deposits we have already paid on your behalf.
- 3 — 7 days before service: 50% of the concierge fee is retained to cover work already performed (research, holds, supplier negotiations).
- Less than 72 hours before service: 100% of the concierge fee is retained.
- Same-day or no-show: 100% of the concierge fee is retained. The supplier's own cancellation terms also apply.
2. Supplier fees on cancellation
Each supplier (the venue, the airline, the hotel, the charterer) has its own cancellation rules. Where you have paid the supplier directly, you must claim your refund from the supplier under their terms. Where we have paid the supplier on your behalf, we will recover any refund due and pass it to you, less an admin fee of £100 to cover transfer and reconciliation.
3. Member plans (restaurant priority booking and similar)
- Monthly plan: cancel any time, the plan continues until the end of the paid month. No refund of the current month.
- Yearly plan: cancellation effective at the next renewal. No partial-year refund except where required by law.
- Annual prepaid plan: cancellation effective at the next renewal. No partial-year refund. If you cancel within 14 days of first signing up and have not used the service, a full refund is available under standard UK consumer law.
4. Force majeure
If we cannot deliver the service because of an event outside our reasonable control (severe weather, strike, civil unrest, public-health emergency, government order), we will:
- Reschedule the service where possible at no extra concierge cost.
- Refund the concierge fee where rescheduling is not possible.
Supplier refunds in force-majeure events follow the supplier's own policy and applicable consumer protection law.
5. How to cancel
To cancel a booking or a member plan, please contact us via the contact page in writing. Phone or in-chat cancellations are not sufficient — we require a written record.
6. Refund timing
Approved refunds are processed within 14 working days. The funds typically appear on your card or in your account within a further 3 — 10 days depending on the issuing bank.
7. Goodwill exceptions
We may, at our discretion, offer a partial credit toward future service in cases of late cancellation. Goodwill credits are not refundable in cash.
8. Disputes
If you disagree with a refund decision, please contact us via the contact form. For unresolved disputes please see our Chargeback Policy before initiating a card chargeback — chargebacks raised without first contacting us are addressed under that policy.
